1. The short version

  • You can have your data deleted. You do not need an account, and you do not need to give a reason.
  • If you messaged a business on WhatsApp, Instagram or Messenger, that conversation belongs to the business — but you can ask us directly and we will action it.
  • We action requests within 30 days and email you when it is done.
  • Deletion is permanent. Once a conversation is gone we cannot get it back.
  • If you want any of this explained in Urdu, call us — ہم اردو میں سمجھا دیں گے۔

This summary is for reading convenience. The numbered sections below are the binding version.

2. Who this page is for

Two different people end up on this page, and the steps are different for each. Find yourself below.

You messaged a business

You sent a WhatsApp, Instagram or Messenger message to a shop, clinic, agency or restaurant, and something answered you. You never signed up for ChatBoss and may not have heard of us. Read the next section.

You use ChatBoss for your business

You have an account with us, or you connected your Facebook Page or Instagram account to ChatBoss. Read the section after that.

You do not need an account with us to ask, and we do not charge for it.

3. If you messaged a business

When you message a business that uses ChatBoss, we handle that conversation on the business’s behalf. The business decides what it keeps; we hold it for them. You can ask either of us to delete it, and asking us is usually faster.

Email us and tell us three things:

  • The name of the business you messaged;
  • The phone number, Instagram handle or Facebook name you messaged them from — we need it to find the conversation, and we use it for nothing else;
  • That you want your data deleted.

You do not have to prove anything beyond controlling the number or account you messaged from. We will not ask you why, and we will not pass your request to the business as a sales lead.

One thing to be straight about: the business may have written your details into its own records — a booking diary, a spreadsheet, its own CRM. We can delete what is in ChatBoss. We cannot reach into a system that is not ours, so if you want that gone too, ask the business directly.

4. If you use ChatBoss for your business

There are two separate actions, and doing only the first is the common mistake.

Step one — disconnect ChatBoss from Meta. This stops us receiving anything new. On Facebook: Settings & Privacy → Settings → Business Integrations → ChatBoss → Remove. On Instagram: Settings → Website Permissions → Apps and Websites → ChatBoss → Remove. On WhatsApp Business, remove ChatBoss from your connected apps in the WhatsApp Manager.

Step two — ask us to delete what we already hold. Removing the app cuts off the supply; it does not empty the store. Email us from the address on your account and tell us whether you want everything deleted or only specific conversations.

If you would rather take your data with you before it goes, ask for an export in the same email and we will send it first.

5. What gets deleted

A full deletion removes all of this:

WhatWhere it came from
The messages in the conversation, both directionsWhatsApp, Instagram or Messenger
The sender’s profile name and picture, and the platform ID we identify the thread byProvided by Meta when the message arrives
Leads, bookings and contact details captured from the conversationCreated by ChatBoss while answering
Account details, business profile and the material your agent answers fromEntered by the business
Support tickets and correspondence about the accountEmail and calls with us

6. What we cannot delete

Two things survive a deletion request, and we would rather say so here than surprise you later.

  • Invoices and payment records, which tax law requires us to retain. These identify the business that paid us — not your customers, and not the contents of any conversation.
  • Anything we are under a legal order to preserve. This is rare, and we will tell you it applies unless we are barred from doing so.

Counts that carry no personal information — how many conversations were handled in a month — may remain in our own reporting. Nothing in those can be traced back to a person.

7. How long it takes

We action deletion requests within 30 days and email you to confirm when it is done. Most are finished well inside a week.

Data is removed from our live systems immediately on action. Encrypted backups roll over on a 90-day cycle, so a copy can persist in a backup for up to 90 days after that — it is not readable in day-to-day use, is never restored selectively, and ages out on its own.

8. This does not delete the chat from WhatsApp or Instagram

Worth being clear about, because people assume otherwise. Deleting your data from ChatBoss removes it from our systems. The conversation still sits in the WhatsApp, Instagram or Messenger thread on your phone and on the business’s, and Meta holds its own copy under its own policy.

To remove it there, delete the chat in the app itself, and use Meta’s own account settings for anything Meta holds. We have no ability to delete data out of Meta’s systems on your behalf.

9. How to ask

One address. A person reads it and a person replies — there is no form to fill in and no account to create.
